Set & Manage AI Interview Agent Budgets
Agent budgets help you control spend and predict interview costs based on your interview workflow. Budgets are optional. If no budget is set, interviews continue as long as workspace credits are available.
How Interview Costs Work
Interview costs are calculated based on the interview stages enabled in your agent’s workflow, such as:
Resume Screening
Web (Voice) Interview
SMS Screening or Engagement
Form Screening
Cheat Detection
Each completed stage contributes to the total cost of a completed interview.

Incomplete interviews are not charged. During setup, HeyMilo shows calculated cost projections based on plan + your selected stages.
Budget Types Available
Set a fixed total amount for the agent. Once the budget is fully spent, the agent pauses automatically.
Set a daily spending limit that resets every 24 hours.
How to Set an Agent’s Budget
There are two ways to set or update an agent’s budget:
during agent creation
after the agent is live

Step 1 Configure Interview Stages
As part of the Create Interview Agent flow, select the interview stages you want to include.

HeyMilo automatically calculates projected interview costs based on your workflow.
Step 2 Review Interview Costs
Under Interview Costs, you’ll see:
the current pricebook (USD)
enabled interview stages
estimated cost per completed interview
This helps you understand spend before launching.

Step 3 Set Budget (Optional)
In Budget & Notifications:
choose a budget type (Daily or All-Time)
enter the dollar amount

You can leave this empty if you don’t want to set a budget yet.
Step 4 Review Interview Capacity
Below the budget input, you’ll see:
the estimated number of completed interviews your budget allows

Once reviewed, click Continue to Share to finish agent setup.
⭐ After Agent Creation
Step 1 Go to the Interviewers dashboard
Step 2 Find the agent you want to update
Click into the budget icon on the agent card, or open View Configuration.
Step 3 Click the edit (pencil) icon next to the budget field (e.g. “No budget”)

Step 4 Select a budget type
(Daily or All-Time) and enter the amount

Step 5 Review the estimated number of completed interviews shown below the amount
Step 6 Click Update to save changes.
Budget updates apply immediately.

✅ Best Practices for Managing Agent Budgets
Regularly verify your budget settings, especially after making changes.
Check workspace credits periodically. Updates may take a few minutes to reflect correctly.
Set expiration dates thoughtfully, ensuring they align with your hiring needs.
You can check the usage of every agent in your workspace in the Usage tab (Settings → Billing → Usage)
You can top up credits by navigating to Settings → Billing → Subscription. In this section, you can view your payment history and manage your payment method. Additionally, there's an option to enable Auto-Reload for automatic credit top-ups.
🔔 Notifications When Credits Are Low
When your credits are critically low, you will see a red alert message in your workspace.

You will also receive an email notification when your workspace is running low on credits.
⚠️ Troubleshooting: Common Budget-Related Issues
If your agent stops working unexpectedly, confirm:
Workspace credits are sufficient and updated in the UI.
Agent’s budget is properly set and not exhausted.
Budget wasn’t unintentionally set to $0.
Expiration date hasn’t been reached.

You can update an agent’s budget at any time—whether you need to increase the spend for a busy period or open up more interview slots for a promising role. Just follow these steps to make changes after the agent is created, and you’ll always have the flexibility to adapt as your hiring needs evolve!
