Contact Blasts

Contact Blasts let you send SMS, email, or phone communications to selected candidates for a job posting.

How Contact Blasts Work

  1. Access the feature: From your job posting, click the Actions dropdown and select the contact blast option

  2. Select candidates: Choose specific candidates or let the system target all candidates

  3. Choose communication type: Email, SMS, or Phone Call

  4. Write your message: For email and SMS only (phone calls are automatic)

  5. Apply filters: Option to only contact candidates who haven't completed interviews and aren't knocked out

  6. Send: The system shows you totals and processes the blast

Rate Limiting

To maintain professional communication and prevent spam, HeyMilo enforces rate limits on contact blasts:

  • 📧 Email: 1 email per hour per candidate

  • 📱 SMS: 1 text message per hour per candidate

  • 📞 Phone Call: 1 call every 6 hours per candidate

Why rate limits matter: These limits protect your reputation by preventing accidental over-communication. The system automatically skips candidates who were recently contacted through the same channel, so you never have to worry about bombarding your candidates.

If you attempt to send a blast to a candidate who was contacted within the rate limit window, they will be automatically skipped with a "rate_limited" reason in your blast results.

How to Launch Your Contact Blast

1

Step 1 Access Your Blast Tools

From your job posting, click the Actions dropdown and select the contact blast option. This is your command center for candidate re-engagement.

2

Step 2 Target Your Candidates

You have two targeting options:

  • Select specific candidates - Perfect when you want to focus on your top prospects

  • Auto-target stalled candidates - Let the system find everyone who needs a nudge (recommended for maximum efficiency)

3

Step 3 Pick Your Channel Strategy

Choose based on your role type and urgency:

  • Email - Professional roles, detailed follow-ups

  • SMS - Hourly/shift work, immediate attention needed

  • Phone Call - Executive roles, urgent fills, high-touch approach

4

Step 4 Craft Your Outreach

For Email Blasts:

  • Subject line that creates urgency: "Action needed: [Company] opportunity"

  • Professional body with clear next steps and deadline

For SMS Blasts:

  • Keep it personal: "Hi {{candidate_name}}, this is [Your Name] from [Company]"

  • Include a clear call-to-action and deadline

For Phone Blasts:

  • Nothing to write - the system handles the calls automatically

5

Step 5 Launch and Track

Before sending, you'll see:

  • Total candidates in your target pool

  • Eligible candidates who will actually receive your blast

  • Message preview to double-check your content

Smart Targeting That Saves You Time

Recruiter Efficiency Boost: The system automatically filters your candidate pool so you only contact people who actually need a nudge. No more accidentally bothering candidates who already completed their interviews or were eliminated from consideration.

Here's how the smart filtering protects your reputation and maximizes results:

  • Only targets stalled candidates - Skips anyone who's already completed their interview

  • Respects your decisions - Won't contact candidates you've already knocked out

  • Verifies contact methods - Only sends via channels where you have valid contact info

  • Honors engagement history - Phone blasts only reach candidates who've previously engaged via SMS

Why this matters for recruiters: You maintain professionalism while maximizing your time. No manual list management, no accidental duplicate outreach, no contacting the wrong people.

Track Your Blast Performance

As a recruiter, you need data to optimize your outreach strategy. Your blast reports give you the insights to improve your candidate engagement over time.

Accessing Your Blast Data

  1. Go to your job posting

  2. Click the Actions dropdown

  3. Select Blast Requests to see all your blast history

Key Metrics That Matter to Recruiters

Blast Overview:

  • Total Selected - Your initial target pool size

  • Eligible - How many actually qualified for outreach (after smart filtering)

  • Enqueued - Successfully sent communications

  • Skipped - Filtered out candidates (with reasons why)

Individual Candidate Results:

  • Delivery Status - See exactly who received your message

  • Response Tracking - Monitor which candidates re-engaged

  • Contact Details - Verify you're reaching the right people

  • Timing Data - Track when communications were sent

Using This Data to Improve Your Results

  • Low eligible rate? Your candidate pool might be too narrow or already engaged

  • High skip rate? Check if you have current contact information

  • Poor response rates? Test different messaging or timing strategies

  • Channel performance - Compare email vs SMS vs phone effectiveness for different role types

Recruiter Best Practices for Maximum Results

chevron-right🎯 Strategic Timinghashtag
  • Strike while it's hot - Send blasts within 24-48 hours of a missed deadline

  • Respect work schedules - Avoid weekends for corporate roles, but weekends work great for retail/hospitality

  • Time zone awareness - Schedule sends for business hours in your candidates' locations

  • Follow-up cadence - Space blasts 3-5 days apart to stay top-of-mind without being pushy

chevron-right💬 Message Masteryhashtag
  • Lead with value - "Great opportunity at [Company]" not "You missed your deadline"

  • Create urgency - Include specific deadlines: "Complete by Friday to stay in consideration"

  • Personalize at scale - Use {{candidate_name}} and reference the specific role

  • Match your brand voice - Professional for corporate, casual for startups, direct for blue-collar

chevron-right📱 Channel Strategyhashtag
  • Email for white-collar - Professionals check email regularly, expect formal communication

  • SMS for blue-collar - Hourly workers prefer text, higher response rates for shift work

  • Phone for executives - Shows you're serious, builds personal connection for senior roles

  • Test and optimize - Track which channels work best for your specific industry and role types

chevron-right📊 Performance Optimizationhashtag
  • A/B test your messaging - Try different subject lines and calls-to-action

  • Monitor response rates by channel - Double down on what works for your candidate pool

  • Track time-to-response - Identify optimal send times for your industry

  • Segment by role type - Different messaging for different position levels

Troubleshooting Common Issues

"My Response Rates Are Low"

Quick fixes:

  • Message clarity - Is your call-to-action crystal clear? "Complete your interview by Friday" vs "Please respond"

  • Value proposition - Lead with what's in it for them: salary range, benefits, growth opportunity

  • Channel mismatch - Try SMS for hourly roles, email for professional positions

  • Timing issues - Test different send times; avoid Monday mornings and Friday afternoons

"Not Many Candidates Are Eligible"

Common causes:

  • Most candidates already completed their interviews (good problem to have!)

  • You've already knocked out most of your candidate pool

  • Contact information is missing or outdated

  • Candidates haven't engaged via SMS yet (required for phone blasts)

"Technical Issues with Sending"

Check these first:

  • Email domain setup - Only needed if you've configured a custom sender domain

  • SMS provisioning - Ensure your provisioned phone number can reach out to candidates

  • Contact data quality - Invalid phone numbers or email addresses will be skipped

  • SMS history - Phone blasts only work for candidates with previous SMS engagement

  • System status - Check if there are any platform-wide issues
