HeyMilo gives you multiple ways to fill your pipeline — whether it’s rediscovering people you already have, finding fresh profiles on the web, or tapping into your ATS.

Overview of How to Source in HeyMilo

Under Source Candidates in your HeyMilo dashboard (side panel), there are three ways to source:

  • From Here: HeyMilo Database: Browse and manage everyone in your workspace, then invite qualified candidates to an agent in one click.

  • From Outside: External Sourcing: Run natural-language or Boolean searches across the open web and job boards to uncover fresh profiles and contact info.

  • From ATS: COMING SOON. Re-engage and enrich candidates from your existing ATS to reduce job board spend and accelerate placements.

From Here: Candidate Directory

Use the Candidate Directory to work with people already in your HeyMilo workspace — past applicants, previously sourced talent, or anyone who’s joined through other flows.

Step 1 Click From Here in the Left Navigation Under Source Candidates

  • Your Candidate Directory will open up for you to see everyone in your workspace.

Step 2 Search for Candidates

Use the search bar to quickly locate candidates by:

  • Name

  • Email

  • Joined After / Joined Before (filter by date added)

You’ll see results update instantly as you type.

Step 3 Review Candidate Profiles

Each row shows key details:

  • Candidate NameEmailJoined DateInterviewsActions

Click a candidate’s name to view their profile, including past interviews, notes, and contact information.

Step 4 Take Action

Use the Actions to:

  • Invite to Agent → Send the candidate into a new or existing screening workflow

  • View candidate details → View full candidate details, including experience, skills, interview performance, and past interviews with HeyMilo

Step 5 Track Progress

  • Any candidate you invite moves into your configured workflow automatically — just like inbound applicants — so you can follow their progress in the main HeyMilo dashboard.

From Outside: External Sourcing

External sourcing in HeyMilo lets you go beyond inbound applicants by finding fresh candidates from the open web. With natural language search, you can discover profiles that match your exact needs — and invite them directly into your interview workflows.

Step 1 Run a Search

  • Type a natural language or Boolean query describing the candidates you want.

Examples (Natural language):

  • “Warehouse associates in Dallas with forklift certification”

  • “Customer support reps in Toronto with bilingual skills”

  • “Software engineers in New York who worked at FANG companies” (FANG = Facebook, Apple, Amazon, Netflix, Google)

Example (Boolean):

software engineers OR developers OR programmers in New York OR remote with 1+ years experience at a technology company OR startup

You’ll see Searching… while results load.

Step 2 Apply Advanced Filters

  • If your search is broad, you can add filters to narrow results.

Click + Add Filter and choose:

  • Field → Name, Title, Company, Location, Skills, etc.

  • Operation → Equals, Contains, Starts with, Greater than, etc.

  • Value → The keyword or number you want to filter on

Click Apply Filters to update your search.

Use Clear Filters to reset.

Step 3 Review Results

After filters are applied, results appear in a table with columns like:

  • Name • Title • Company • Location • Skills • Email • Phone Number • LinkedIn Profile • Actions

Step 4 Invite Candidates

  • Click ActionsInvite to Agent, choose your role’s agent, and confirm.

  • Optional: Route through an Intent Validation step first to confirm interest before sending the full screening flow.

Step 5 Track in Your Pipeline

  • Invited candidates appear in your HeyMilo dashboard (the same as inbound applicants) and proceed through your configured workflow (e.g. SMS/Form/Resume → Voice/Video/Phone).

If You See “No Results”

If nothing matches, you’ll see a helper suggestion, e.g.:

No results found. Try this suggestion:

“engineer OR developer OR programmer in Vancouver with at least 1 year experience”

Click Try this search to auto-run the suggested query.

Tips for Better Sourcing

  • ✅ Include role + location + must-have skill/cert in queries

  • ✅ Use OR for synonyms and numbers for experience (e.g., 1+ years)

  • ✅ Validate interest first to save screening costs downstream
